Most late payers aren't dodging you. They're busy. A clear, friendly reminder at the right time usually does the job. This playbook gives you a three-step reminder set to write once and reuse.

The steps.

Step 1. Pull up the overdue invoice: number, amount, due date and client contact.

Step 2. Paste the prompt below and fill in the brackets.

Step 3. Check the amounts and dates, and add your real payment details where it says payment details.

Step 4. Send reminder 1 at 7 days overdue, reminder 2 at 14 days and the final notice at 30 days.

Step 5. Save all three as templates in your email or accounting software.

Here is the prompt to copy and paste. Write three reminder emails for invoice number of amount due date to client: (1) friendly at 7 days overdue, (2) firm at 14 days, (3) final notice at 30 days mentioning next steps. Short, polite, Australian tone, include payment details placeholder.

Before you send.

Always check figures, GST and dates yourself. For tax, legal or employment rules, confirm with the ATO, Fair Work or your accountant. This is general information, not advice.

Polite and consistent beats awkward and sporadic. Set the schedule once, then let it do the chasing.
